1. The administrator of personal data is Z Partners Sp. z o.o. with its registered office in Warsaw (03‑289), ul. Ostródzka 86h, registered with the National Court Register under number 0001133563 (hereinafter: “Z Partners”, “we”).

2. This Policy applies to the data of users of our website, contact forms, subscribing to newsletter/webinars and other forms of online contact.

2. What data do we process and where do we get it?

We process data that you provide to us yourself or that are generated when you use the website:

1. Data provided in the forms

  • name, surname, e-mail address, telephone number, company name, message content, other data provided in the form fields.
  • Forms: contact, “send inquiry”, “arrange a consultation”, subscriptions to newsletters, registrations for webinars/events.

2. Data related to the use of the website

  • IP address, browser type and version, operating system, session information, time of visit, clicks, input source, page navigation path.

3. Marketing and analytical data

  • data from CRM and Marketing Automation systems (e.g. Zoho CRM, Zoho Booking, Zoho Marketing Automation/Campaigns), information about opening emails, clicks on links, reactions to campaigns.

3. Purposes and legal bases of data processing

We process your data for the following purposes:

1. Reply to inquiries and contact with you

  • e.g. reply to a message from a form, setting a consultation date.
  • Legal basis: Art. 6 para. 1 lit. f GDPR - our legitimate interest in communicating with persons interested in our offer.

2. Conclusion and execution of contracts

  • when a contract is negotiated, concluded and executed on the basis of the contact (e.g. implementation, consulting services).
  • Legal basis: Article 6 (1) (b) GDPR - performance of the contract or action prior to its conclusion.

3. Newsletter and marketing communication

  • sending a newsletter, information about services, events, materials (e.g. ebooks), matching content to your interests.
  • Legal basis: Art. 6 (1) lit. a GDPR - your consent (e.g. check box).

4. Organization of webinars and online events

  • handling the application, sending links, materials, organizational information.
  • Legal basis: Article 6 (1) (b) or (f) of the GDPR - execution of the application and our legitimate interest in organizing events.

5. Conducting analytical and statistical activities

  • analysis of the use of our website, improvement of its functionality, measurement of the effectiveness of the campaign.
  • Legal basis: Art. 6 para. 1 lit. f GDPR - our legitimate interest in improving the website and marketing activities. For marketing/analytical cookies - additionally consent expressed by the Cookiebot banner.

  • use of data from Google Analytics, Microsoft Clarity and advertising pixels (Google, LinkedIn) to target ads to specific audiences.

  • e.g. securing information for the purposes of disputes, complaints, proceedings.
  • Legal basis: Art. 6 para. 1 lit. f GDPR - our legitimate interest in protection against claims.

4. Do you have to provide data?

1. Providing data in the forms is voluntary, but necessary so that we can respond to your inquiry, arrange a consultation or sign you up for a newsletter/webinar.

2. If the required fields of the form are not filled in, we will not be able to fulfill the given purpose (e.g. return answers).

5. Recipients of data

In connection with the use of the website and the conduct of our business, we may transfer your data to the following categories of recipients:

1. Providers of IT tools and hosting (e.g. Webflow, server providers, Cloudflare - to ensure the operation of the site).

2. Providers of CRM and Marketing Automation systems (e.g. Zoho Corporation - Zoho CRM, Zoho Booking, Zoho Marketing Automation/Campaigns, Zoho PageSense).

3. Providers of analytical and advertising tools (e.g. Google - Tag Manager, Analytics, Ads; Microsoft - Clarity; Webflow - Analyze; LinkedIn)

4. Providers of the cookie consent management system (Cookiebot).

5. Companies providing legal, accounting, auditing and other advisory services - if this is necessary to achieve our objectives.

Recipients process data on the basis of data processing agreements or as separate controllers (e.g. Google, LinkedIn - in the scope of their own services).

6. Transfer of data outside the European Economic Area

1. Some of our suppliers (e.g. Webflow, Zoho, Google, Microsoft, LinkedIn) may process data outside the European Economic Area.

2. In this case, we provide adequate safeguards, in particular through the use of standard contractual clauses (SCCs) approved by the European Commission or other mechanisms provided for by the GDPR.

7. How long do we keep the data?

The shelf life depends on the purpose:

1. Data from contact forms/inquiries

  • usually up to 3 years from the end of correspondence or the last contact - for statistical purposes and possible defense of claims.

2. Marketing data (newsletter, Zoho campaigns/email)

  • until you withdraw your consent or object, and then, to a limited extent, for the limitation period for claims related to marketing activities.

3. Data related to webinars/events

  • as a rule, up to 2 years after the end of the event or until the withdrawal of consent to the marketing contact.

4. Data in analytics systems (e.g. Webflow Analyze, Google Analytics, Zoho PageSense, Microsoft Clarity)

  • according to the default retention periods specified by the respective provider; we strive to use minimization configurations (e.g. 14-26 months, if the tool allows).

5. Data processed for the purpose of asserting claims

  • until the limitation of potential claims under the law.

8. Cookies and Tracking Technologies

1. Our website uses cookies and similar technologies (e.g. local storage, analytical scripts) in order to:

  • ensure the proper functioning of the website (cookies necessary),
  • conducting statistics and analytics (analytical cookies),
  • conducting marketing and remarketing activities (marketing cookies).

7. the right to withdraw consent at any time - to the extent that you have given your consent (e.g. newsletter, marketing consents); withdrawal of consent does not affect the lawfulness of the processing before its withdrawal.
